Interview evenings (vote-in)

Do you live in a house where you can choose your housemate? Then we would like to explain to you how to find a new housemate when a room becomes available. Allocation of the room can be done through:

  • Vote-in based on direct nomination (room is not advertised).
  • Vote-in based on registration time (room will be advertised).

Vote-in based on direct nomination

New legislation
Since the introduction of the Good Landlordship Act, we are required to prevent discrimination in housing. Non-discriminatory selection criteria must be used. It is also the aim to explain to rejected candidates why another candidate was chosen.

 Selecting a candidate based on gender, ethnicity, religion, sexual orientation, or other discriminatory grounds is prohibited. This also applies to the advertisement text you draft with your housemates regarding the type of housemate you are looking for. So, phrases such as ‘Dutch students only’ are not permitted. You are, however, allowed to select on the basis of non-discriminatory factors such as hobbies or lifestyle.

What does this mean?
As a tenant, you are responsible for selecting a new candidate. This should be done in a non-discriminatory way. Idealis will check the advertisement texts for this on a selective basis.

How does it work?
Make sure to arrange a interview evening on time. So don’t wait until you receive an email from us asking you to nominate a candidate. It’s your responsibility to find a suitable new candidate on time. You may only send us the name of your selected candidate after you receive our email. In that email, we also explain in which period you must nominate someone.

  • Once you have chosen a housemate, please notify us through your Idealis account. To do this, you will need the following information from the new housemate: first name, last name, date of birth and registrationnumber Roommatch.
  • Your new housemate is only eligible if he/she belongs to the target group.
  • Is your new housemate a first year student? From 4 months before the start of your studies, you can nominate your new housemate.
  • Your new housemate will be notified and that’s where the rental process starts via My Idealis.
  • Idealis performs a final check when approving the documents.
  • The rental agreement can then be signed via your My Idealis account.

When everything is in order, the match has been made and you have a new housemate! And the keys? You can hand them over yourself. If you can't, you can simply hand over the keys at our Front office at Bornsesteeg 1.

Make sure that the process is completed within the specified time
This is of course the responsibility of your new housemate, but a little help can't hurt. Therefore, it would be nice if you are in touch with each other during this digital rental process. Does the candidate not manage to complete the process in time? Then we will publish the room via the cities page on ROOM.nl. This means that any room seeker can respond to the room.

If you do not manage to find a suitable candidate within the timeframe you were given, the room will be automatically published via the ROOM.

In case of special circumstances and an acute housing demand, Idealis can also offer or directly allocate a vote-in room via the ROOM website.

Vote-in based on registration time
 

Rules

  • All vote-in rooms will be published via the cities page on ROOM after termination of a contract.
  • In the email we send you, there is a link. Through this link, you provide the following within 24 hours:
    • Whether one of the housemates wants to move within the house to another room, This person has to terminate their own room. The room that then becomes available will then be advertised.
    • A description and/or group photo. We aa these to the advertisement.
  • We will publish the advertisement for 3 days.
  • Room seekers who meet the allocation criteria can respond to the advertisement.
  • When the advertisement period has been expired, a selection list is made in order of registration time (possibly taking the priority rules into account).
  • The details of the first 20 candidates of this list will be emailed to the tenants.
  • The group of tenants submits a nomination by the deadline (as stated in the first email from Idealis) via the Idealis account. Could you provide us with the first name, last name, date of birth, and registration number of the Roommatch housing applicant? Is it not possible to nominate someone within this deadline? The room will then be offered to the candidate with the longest registration time.
  • The condition is that the candidate is selected from this list.
  • The candidate will be notified that he/she has been nominated and can accept the room and start the rental process.
  • Idealis performs a final check when approving the documents.
  • The rental agreement can then be signed via your My Idealis account.

If everything is in order, the match has been made and you have a new housemate! And the keys? You can hand them over yourself. If you can't, you can just hand in the keys to the housing managers at Bornsesteeg 1.

Vote-in rooms and key transfer
Are you living in a vote-in room and your corridor has found a new tenant? As a leaving  tenant, you may hand over the keys to the new tenant yourself. You may also arrange this through your co-tenants. Would you like to let the housing manager know by e-mail if you arrange the key transfer yourself?

Are you or your co-tenants unable to hand over the keys themselves? Then you can simply hand over the keys to the Housing Managers at Bornsesteeg 1.
